What to ask a new cli­ent who is com­ing on board:


  • What do they do?
  • How many users do they have approx?
  • Where are they loc­ated? Do they have any branch offices or remote work­ers?
  • Who is their cur­rent IT pro­vider? Con­tact details?
  • Any oth­er IT/​application pro­viders that will be provid­ing sup­port etc. post-migra­tion?


  • What devices are they using?
  • Do they have any cent­ral­ised con­trol, e.g. all devices on domain, all devices have known Admin­is­trat­or pass­word
  • Do users have Admin­is­trat­ive rights on their loc­al machines?
  • Do they have any print­ers, if so, what is the make/​model? Scan­ners?
  • Do they have any oth­er com­puter-con­nec­ted hard­ware, e.g. USB web­cams, smart cards, etc.
  • Soft­ware ver­sions? Licenses?
  • Where are files stored?
  • Size of file data?


  • Who is their cur­rent net­work pro­vider?
  • Cur­rent net­work band­width etc.?
  • Any net­work­ing gear in their office? I.e. switches, routers, etc.
  • Any VPNs or remote access?
  • Any 3G/​4G access points, backup links etc.?
  • WiFi in the office?


  • Size of email data?
  • Type of stor­age (e.g. PST on loc­al machine, Exchange data, etc.)
  • List of mail­boxes, ali­ases, con­tacts, dis­tri­bu­tion lists, for­ward­ing details, access per­mis­sions
  • Cur­rent domain host, login details?
  • Cur­rent MX records
  • Any SPF records or require­ment for one?
  • Any require­ment for SMTP serv­er?


  • What applic­a­tions do they run?
  • What do the applic­a­tions do?
  • What oth­er servers/​services do these applic­a­tions talk with?
  • What are the applic­a­tion require­ments, e.g. .NET ver­sion, Java, OS com­pat­ib­il­ity
  • Applic­a­tion vendor con­tact details, sup­port agree­ment?
  • Who requires these applic­a­tions — all staff, man­age­ment, account­ing, etc.
  • Any known com­pat­ib­il­ity issues?

Vir­tu­al Serv­ers

  • How many vir­tu­al serv­ers do they require?
  • What are the pur­poses of each serv­er?
  • OS ver­sion, .NET ver­sion, serv­er roles, etc.?
  • Fire­wall require­ments?
